About the Role
A Document Controller in London is responsible for managing, organizing, distributing, and maintaining critical business documents and records in compliance with company and regulatory standards. You will work with engineering drawings, contracts, project reports, correspondence, and compliance files, ensuring that all documents are version-controlled, accessible, and filed systematically. The role sits at the heart of project delivery and regulatory compliance.
Your Responsibilities
- Set up and maintain an efficient document management system (DMS).
- Receive, log, and distribute incoming documents to relevant stakeholders.
- Ensure all documents are named, versioned, and stored to company specifications.
- Process document transmittals, reviews, and approvals in a timely manner.
- Maintain a master document register and track document status updates.
- Coordinate with project teams to retrieve, update, and reissue documents.
- Ensure documents comply with ISO, regulatory, or contractual standards.
- Prepare and submit document status reports to project managers.
- Archive superseded documents and maintain an accessible audit trail.
- Provide training and support to staff on DMS procedures and tools.
What You Bring
- Proven experience in document control, records management, or similar roles.
- Proficiency in DMS software such as Aconex, Documentum, or SharePoint.
- Exceptional organizational and filing skills with meticulous attention to detail.
- Strong understanding of document control principles and version management.
- Ability to work across multiple projects and manage competing priorities.
- Good communication skills for coordinating with engineers, managers, and clients.
- Familiarity with ISO 9001 document management standards.
